Bookkeeping, Payroll & Financial Operations for Growing Texas Businesses

Beyond Bookkeeping. Built for Growth.
Why Owners Switch

Almost Nobody Leaves Their Bookkeeper Over Bad Math.

They leave because they asked a question and waited four days for the answer. Because the business grew and the back office didn't. Because at some point the person who knows where everything is became the owner.

You can't get a number when you need it

Not because it's wrong. Because nobody can produce it on the day you ask, and by the time it arrives the decision has already been made without it.

The role outgrew the person

What a business needs at six employees isn't what it needs at twenty-five. That's growth, not a failing — but the gap is real and it widens.

You're the one holding it together

If the books work because you personally chase them, the business can't move faster than you can. That's a ceiling with your name on it.

Bookkeeping that's merely correct isn't the same as a back office that works.

We're a bookkeeping and financial operations firm in Bulverde, Texas. Not a CPA firm — we work alongside yours.

Two Ways to Work With Us

Hand Us the Whole Thing, or Just the Part That's Breaking

Most firms make you choose a package. This is a choice of shape, not size — and either one is scoped and priced before anything starts.

01 Most Clients

Your Back Office

The whole department, staffed and supervised: weekly bookkeeping, payroll and compliance, accounts payable and receivable, controller-level review, and monthly reporting. One flat monthly price.

You're not hiring a bookkeeper. You're hiring a team. This is what most owners come to us for once the business has outgrown the setup that built it.

Best if I need this off my desk, and I need somebody senior actually reviewing it.

02 Targeted

One Service at a Time

Weekly bookkeeping as the foundation, plus the single service solving whatever is costing you most right now — payroll, AP and AR, cleanup, or reporting.

Nothing gets bundled in that you didn't ask for. If one problem is the problem, buying the whole department to solve it is a waste of your money and we'll say so.

Best if One thing is broken. I don't need to change everything.

What's Behind It

Numbers You Can Check

We don't have a wall of logos. We have a track record, and these are the parts of it that are countable.

8,000+ payrolls a year

Processed annually across our client base — hourly, salaried, multi-state, and certified payroll on prevailing-wage work.

Insurance audits every year since 2021

General liability and workers' compensation premium audits, several a year, every year we've been in business. We produce the records and answer the auditor. See audit support.

Grown almost entirely on referrals

Which only works one way: clients stay because the work is good, not because leaving is difficult. Every engagement is month to month.

The Work Itself

Six Things That Keep a Business's Numbers Trustworthy

All six are included in a full back office. Any one of them can be bought on its own.

01

Weekly Bookkeeping

“I never know where we actually stand.”

Coded and allocated weekly, reconciled monthly. Job, class, location, and entity allocation happens as the transaction is recorded — not reconstructed at close. More in bookkeeping.

02

Payroll & HR Compliance

“Payroll has gotten complicated.”

Processing, filings, onboarding and offboarding, multi-state registration, and certified payroll on prevailing-wage work including LCPtracker and CCIP portals. More in payroll services.

03

AP/AR & Cash Flow

“We're profitable but always tight.”

Bills paid on terms rather than on panic. Invoices out on time, aging watched by age rather than by total, and follow-up before a customer stops answering. More in AP and AR.

04

Catch-Up & Cleanup

“We're behind and I don't know how far.”

A diagnostic first, then fixed-price remediation with a defined end. Quoted separately from ongoing work, because bundling one-time work into a monthly fee charges you for it forever. More in cleanup.

05

Advanced Reporting

“The P&L doesn't tell me what to do.”

Job profitability, WIP schedules, cash flow forecasting, and the four numbers you should be able to get in under a minute. Built for how your business actually makes money. More in reporting.

06

Controller Oversight

“Nobody is checking our books.”

Somebody reviewing the work rather than performing it — owning the close, checking the balance sheet, catching what the ledger records but hides. This is the role a single hire almost never covers. More in controller oversight.

What Actually Differs

Four Things Owners Tell Us They Didn't Get Before

Not claims about being nice. Each of these is something you can hold us to, and something you should ask any firm you're considering.

You get an answer the same day

Almost always same business day. Always within 24 hours.
  • “Can I afford to hire another crew?” — answered from real numbers, not a feeling
  • “Did we actually make money on that job?” — while you can still act on it
  • “Payroll looks wrong” — picked up and fixed, not queued
  • A named person who knows your books, not a support inbox

Somebody tells you before you notice

Proactive isn't a personality trait. It's a review step.
  • A job trending over budget — while it's still running
  • An account aging past your terms, before the customer stops answering
  • A cost that jumped without a reason: insurance, materials, a subscription nobody cancelled
  • A balance sheet item that's quietly wrong and would have surfaced in March

The books answer real questions

Structured for how your business actually makes money.
  • Profit by job, provider, truck, location, or entity — not one company-level number
  • Cash visible far enough ahead to commit to a hire or a second location
  • Reporting you get walked through, because reports nobody explains are just files

Built to still work at the next size

Set up for where you're going, not where you were.
  • A chart of accounts that holds up when you add a crew, a location, or an entity
  • Intercompany that nets to zero, because multi-entity is where the mess accumulates
  • A close that closes — months that end, get reviewed, and stay closed
Who We Work With

Built for the Businesses That Run Texas

We're not generalists pretending to specialize. These are the industries we actually have depth in, because we have real clients in them.

Commercial Construction

Job costing that survives a bonding review.
  • Job costing, WIP schedules, and percentage-of-completion
  • Retainage tracked as its own balance, not buried in AR
  • Progress billing, AIA forms, schedule of values
  • Certified payroll and prevailing-wage reporting
  • Subcontractor certificates of insurance tracked as work happens
  • Bonding and prequalification packages

Construction bookkeeping · insurance audits

Trades, Field Services & Medical

High volume, thin margins, or complex payers.
  • Service and install revenue kept separate, because the margins aren't close
  • Material and truck stock tracked to the ticket
  • Field software tied to the ledger — Knowify, Service Pro, and others
  • Provider-level profitability for practices
  • Payer reconciliation: production isn't collections, collections aren't cash
  • Multi-entity structures with intercompany that actually nets to zero

Trades · medical practices · all industries

Before You Hand Over Access

You're About to Give Someone Your Bank Feeds and Your Payroll

It's worth two minutes of diligence, on us and on anyone else you're considering. Here's exactly what we carry and how documents move.

What We Carry

The infrastructure appropriate for handling payroll and bank access.
  • Professional Liability / E&O insurance — covers errors in the work itself
  • Cyber Liability insurance — covers a data incident, which is the risk people forget
  • General Liability insurance
  • Canopy client portal — a SOC 2–compliant platform with encrypted file transfer
  • No documents over email. Ever. Not a preference, a rule
  • Written data-handling processes rather than habits
  • A named team, so access doesn't live with one person

To be precise about the certification: SOC 2 is Canopy's, as the platform provider. We are not ourselves SOC 2 audited, and neither is any bookkeeping firm of our size that's being straight with you.

What to Ask Anyone You're Considering

Including us. Any of these should get an immediate, specific answer.
  • Do you carry Professional Liability / E&O insurance?
  • Do you carry Cyber Liability insurance specifically?
  • How do I send you a document with my bank details on it?
  • If the answer is email — what happens when that inbox is breached?
  • Who besides you has access to my books, and what happens if you're unavailable for a month?
  • What's your process when something is recorded wrong and nobody catches it?

We're not going to tell you what other firms do or don't carry — we don't know. We'd just rather you ask everyone the same questions, because the answers vary more than most owners expect.

Where We Work

Based in Bulverde. Working Across Texas.

Most clients are within an hour of us — San Antonio, Spring Branch, Boerne, New Braunfels, and the Hill Country. We work with businesses across the state and nationwide, because the work is continuous rather than scheduled around visits.

Before You Call

Straight Answers to the Questions Owners Actually Ask

Are you a CPA firm?

No — we are not a CPA firm. Bulverde Business Solutions is a bookkeeping and financial operations firm. We do not prepare tax returns, render tax opinions, or perform any audit, review, attest, or assurance engagement.

We work alongside your CPA and hand them closed, reconciled, reviewed books at year end — which usually reduces what they have to charge you for cleanup.

How fast do you respond?

Same business day in almost every case, and always within 24 hours. You'll have a named person, not a ticket queue.

Calls and questions aren't billed separately or counted. A client who avoids calling because of the meter is a client heading for an expensive surprise.

What does it cost?

One flat monthly price, quoted after we've looked at transaction volume, entity count, payroll complexity, and the condition of the current books. No hourly billing.

A number quoted before that would be a guess, and guesses get revised upward once reality shows up.

Do we have to change software?

No. QuickBooks Online is where the ledger lives, and we integrate what you already run in the field or at the front desk — Knowify, Service Pro, practice management, point of sale.

If something genuinely can't support the business we'll explain why, but replacing your stack is not how we start.

Our books are a mess. Is that a problem?

Extremely common and not disqualifying. It affects sequencing: cleanup comes first and is quoted separately as one-time work with a defined end.

We'd rather tell you in week two that eighteen months need rework than hand you a confident-looking report built on numbers we don't trust.

Can we start mid-year?

Yes. Most clients do. There's nothing special about January.

Do you handle insurance audits?

Yes — general liability and workers' compensation premium audits, every year we've been in business since 2021, several a year. We assemble and reconcile the records, produce the subcontractor certificate file, and answer the auditor's questions.

We are not an insurance agency or agent and don't advise on coverage or represent clients in premium disputes. Details on insurance audit support.

How do you handle our documents and data?

Through Canopy — a SOC 2–compliant client portal with encrypted file transfer. No documents move over email, which is a rule rather than a preference.

We carry Professional Liability (E&O), Cyber Liability, and General Liability insurance. Worth asking anyone you're considering the same question, because the answers vary.

How do we get started?

A strategy call. We'll ask what's actually going on, tell you honestly whether a full back office or a single service is the right fit, and scope it before quoting anything.

If we're not the right answer, we'll say that on the call.
